Notebooks & Stationery Distribution by SAMAJ

The Samaj has arranged the Notebooks & Stationery Distribution on 6th & 7th June 2014. The following articles will be given to the students of Samaj.

The distribution will take place at 4 places listed hereunder. This time Dadar Yuvak Mandal Office is removed as center. What will happen to those who were collecting their Notebooks & Stationery items from Dadar ? There is no explanation about the same.Those who miss collecting the items from their center or those who have chosen Masjid as center will go to Masjid Office of Samaj on 9th & 11th June 2014. Further, instead of Saturday & Sunday, Friday & Saturday are kept for distribution. The reason for not keeping Sunday is not known.  


Those students who need help for Text Books or who need the monetary help to pursue their higher education should read the following carefully and contact the person concerned for completing the formalities and getting the scholarship or Loan

Extra Note Book Distribution

A message is received from Chandravadan Sheth, Secretary Machchhukantha Vishashrimali Jain Samaj-Mumbai as under :
This is to inform the community members that a special distribution of surplus notebooks & other stationery items is organised jointly by Samaj & Yuvak Mandal on Saturday 11-06-2011 at Samaj office at Masjid Bunder between 3 & 6 PM. Those who have missed the earlier distribution and  wish to avail of this opportunity may collect their gifts after submitting the forms at the office.

Circular for Notebook Distribution

At last wiser counsel has prevailed over Samaj & Yuvak Mandal working committee. They have understood that members are really harassed when they come to collect loads of Notebooks at two places on a working day from as far places as Bhayandar or Dombivali.First they have joined hands and will distribute the notebook and other items together. Second they have created 5 distribution centers for the convenience of members. Third the distribution at far off places like Borivali, Bhayandar & Ghatkopar is arranged on Saturday & Sunday. Check your center from where you will get your notebooks before visiting the center. To read the details read the circular here.

Also, Samaj is planning to organise a cricket match amongst the members of Samaj . A circular giving details of the cricket tournament is also with note book circular. Those of you who wish to participate in the tournament may fill in the form and submit before due date.

Notebook Distribution 2010

As usual without any regard to the hardship faced by our members, both the mandals have announced the distribution on 4th & 5th June 2010 between 4 & 8 pm. Both the mandals could agree to send the circular together. They both agreed for the same dates and practically same time
not only that both the mandals forgo to mention the sender's address on circular but they could not come together at one place to distribute the notebooks & other items. Further they chose Friday & Saturday for distribution instead of Sunday. It seems that members of working committee do not have any idea about the problems of traveling to & from Dadar/Masjid and Mira Road/Bhyander or they think you may have to toil if you want the notebook free of cost. In any case, there is need to protest by the general members of samaj regarding this. We are not taking charities from the mandal but it is a brotherly help .

Appeal to Both the Mandals

Vacation is coming to an end. Distribution of Note Books and other related items will soon start. If you have feelings for your brothers, think about the inconvenience they are put to by going to 2 offices as far apart as Dadar & Masjid to collect heavy loads of notebooks. Now, if both the Mandals unite and distribute the notebooks from one place that is Dadar then certainly members will be much relieved from the pushes & pulls of the local train traveling.Further, if the distribution is kept on a Sunday for the whole day, they will have less rush and comfortable ride in the trains. We are not doing charity by distributing the notebooks but we are helping our own brothers in their need. Working committee members may have to put in more efforts in organizing but it is worth the labour to save tremendous hardship of our fellow members. Please also remember that we are distributing the notebooks in June which is also a month of rain gods.

Few thoughts about Notebooks & Stationery Distribution

In the last Samaj Utkarsh, we read that as many as 770 students of 435 families took advantage of notebook & stationery distribution scheme of the samaj. This is the statistics provided by Yuvak Mandal. We can very well assume that same number of students would also have taken advantage of the scheme offered by Mota Mandal. Numerically, this is a big achievement but in our view it is not a glorious achievement as more or less same number of students come to collect their quota of notebooks & stationery every year so those at the helm of affair are well experienced to handle these many students.

We want to make it clear that what we are discussing is multi point alternative/addition to existing arrangement. All of which can not necessarily be implemented. But, If the committee likes some points we would be happy and if they do not like any then also we are happy that we have said whatever we wanted to.

Let us discuss the quality of the work undertaken.

First of all, both the mandals are running parallel activity which we would call duplication . What we mean by duplication is we over feed a particular class and keep some other class unfed or under fed. It would be wise if one of the mandals hands over the work to other mandal and look for other activity which could be useful to members. Duplication is waste of resources not of money but also of man power.

If both the mandals ignore our request and continue with their current activity, they can make life easy for members by having 2 counters of distribution each at Dadar & Masjid in the offices of both the mandals so members do not have to rush to 2 places on the same day at the same time in rush hours and carry 6/7 kg load . On working days , ladies are coming to collect the notebooks and for them to lift 6-7 kg of load is very difficult. At 6 kg per student, parents have carried 770X 6 = 4620 kg (i.e. 4.62 tonnes) weight to their homes. Little planning can save lot of discomfort to members. But for that both the mandals should work in tandem. Who will blink first forgetting their ego ? The answer is one who has good of the samaj at heart.

Still better would be to study the areas from where our members come to collect the notebooks & stationery. After locating the areas open an outlet near those areas for distribution so the members face least hardship. we know there is a problem of keeping the stock of material to be distributed at different places but you have to handle the situation in a business like manner. As in business when there is an opportunity we do not think of problems but advantages. Committee should not think who would do all that ? But should think how this could be achieved? It is difficult but achievable and with experience, we can always refine our plan. As such no plan is perfect. There is room for improvement always. It is better to try and do something than not to do at all. Do not be afraid of failures. Those who work can fail but those who do not work do nothing.

We would still go further to say that we can think of delivery system (Courier based) so that people get their material at their door step. This today looks far reached but in days to come we may have to think of that too. We will rather be forced to think.

This year the distribution is over and next will be after a year. This is the time for introspection. During this time committee should make a list of the families who did not take part in the project though there were school going children in the family. Know their problems, understand them and if their points are valid and just ,try to modify your distribution system so they are attracted toward the project. There may be a few families which may feel that they should not get the notebooks & other stationery from the mandal as they can afford them from open market. They should be convinced that if they do not want to get the benefit of the project they can donate the amount to samaj but in no circumstances they should buy from open market as their participation will encourage others as well to join.

Look at GHOGHARI SAMAJ, every member of their samaj is getting educational expenses from their samaj irrespective of their financial position. We would like to see that happen to us as well.

Lastly, When we place the order for these notebooks & stationery items it has to be bought in whole sale. These quantities do not match with the requirement we may have from members so there has to be surplus/ shortage of the items distributed . What is being done to those extra items ? They should be sold at a concessional rate to the members in open just like Derasarjis sell sweets after SANGH JAMAN. This can also increase your cash inflow.

In summary :
1) Let one of the samaj hand over this work to other so only one samaj handles the whole project to avoid duplication. Saving our resources.
2) Both the mandals should join hands to distribute notebooks at both their offices.Thus facilitate the members from running to 2 places on the same day in rush hour.
3) Locate the pockets from where maximum members come to collect the notebooks & other items and transfer your place of distribution there.
4) In future, Courier service may be a possibility.
5) Locate those members who do not take part in the project even if they are entitled to do so. Convince them to take part and if hesitant, ask them to donate to samaj but participate they must.
6) Sale surplus items to members and en-cash your investment which may go waste.

How Notebooks & Stationery are distributed ?

Dear Members,

In our last blog we had asked your reaction about distribution of Note books & Stationery.

Our observations :

1) There are 26 item in all to be carried per child by the parents of the children. So with 2 children in the house, you will carry 52 items from Dadar to Masjid to the place of residence.
2 ) They also have to carry 12 items per family from Dadar to Masjid to the place of residence.
3) The members of the community will be traveling from Borivali & Ghatkopar to Dadar & then to Masjid between 4 & 8 pm on a working day in rush hours.

If you see the table above then each child gets 2 steel foot rule & 2 pencil boxes. Is this not waste ? Who writes with pencil nowadays ? Like wise each child gets 1 water bag & 1 water bottle. is not it duplication ? Velcro Document Bag is given to the family or Children of the family ? How will children keep their documents in one folder when they need to have separate files/ folders and/or document bags. Same is true for pouch per family. Who will use it ?

Now what we want to question is as follows :

1) why the distribution not kept on Sunday ? What will happen to the members on a working day when they travel back home with loads of items in their hand ?

2) why both the mandals can not work in tandem to have single window delivery of the items at both the offices of Mandal ?

3) When committee members have decided to make us run to both the offices, why the timings are not kept separate so as to make members reach both the offices without much hassles.

It seems committee members are not servants of society but are bosses of the society. What they think is not in the larger interest of the Mandals because they are not in any mood to think out of the box.

We also feel that Donors should come forward not only to donate the funds for these activities but also put conditions as to how & what will be distributed from their donations. By merely giving away the funds does not help. What you, donors, have to demand is how your donations will reach the community in most smooth way.
